Refunds & Cancellations for Bake Day Orders

This article explains how refunds and cancellations work for bake day orders in the Simply Bread App, and when to use each option.

Canceling an Order

Canceling an order means the order is no longer in place and does not need to be fulfilled.

When an order is canceled:

  • It is removed from your bake day and prep workflow

  • The system treats the order as no longer expected to be completed

Canceling an order and refunding money are related, but they are not the same thing. When you cancel an order, the system will suggest refunding the full amount the customer paid, but you always control the refund amount. You can choose to refund the full amount, a partial amount, or nothing at all.

Canceling an order is the right choice when:

  • You cannot fulfill the order at all

  • The order should not be baked or prepared


Refunding an Order Without Canceling It

Refunding an order without canceling it allows you to give money back to the customer while keeping the order active.

When an order is refunded but not canceled:

  • The order is still expected to be fulfilled

  • The order remains part of your bake day workflow

This is useful when:

  • Only part of the order can’t be fulfilled

  • A customer wants to change or remove part of their order

  • You want to give a partial discount or goodwill refund

When issuing a refund, you can choose how the refund amount is determined:

  • By removing products from the order, which adjusts the order contents

  • By entering a specific dollar amount, without changing the order

In all cases, the baker decides the final refund amount.


Removing Products from an Order

When you remove products from an order:

  • Those products are no longer part of the order

  • They will not appear in prep or fulfillment workflows

As products are removed or quantities are reduced, the system will suggest a refund amount based on the value of the removed items. This suggested amount can always be adjusted.

Removed products appear in the order as refunded items, and the order is marked as partially refunded.


Refunding a Dollar Amount Only

You can refund a specific dollar amount without changing the order contents.

When you do this:

  • All products remain in the order

  • The order is still expected to be fully fulfilled

  • Only the payment amount changes

This is commonly used when you want to refund part of the payment without changing what the customer will receive.


Restocking Removed Products

When products are removed from an order, you can choose whether those products should be returned to inventory.

If restocked:

  • The products become available for other customers to purchase

If not restocked:

  • The products remain removed from the order but are not added back to inventory


Removing All Products from an Order

If all products are removed from an order, the system will suggest refunding the subtotal value of those products. This does not automatically include taxes, fees, or tips.

You can refund any amount up to the maximum available to refund, which is based on what the customer actually paid.

If all products are removed and the full available refund amount is refunded, the order is treated as a canceled order.
